This manual is for administrators in a customer organisation: the IT admin who subscribes and deploys Signsync, and the people who design signatures and decide who gets which one. For what your colleagues see in Outlook, send them the user guide.
Status: in development. Signsync is not generally available yet. This manual describes how it will work; screens and wording may change before launch.

What Signsync does

  • You design one or more signature templates (for example Sales – EN, Support – LT, Black Friday banner).
  • You write rules that decide which template each person gets: by group, department or other directory fields, by date range, by sending mailbox, and by whether they write a new message, a reply or a forward.
  • When someone starts a message in Outlook, Signsync inserts the matching signature, filled in with their own name, job title, phone numbers and other details from Microsoft Entra ID.
People don’t install anything and don’t maintain their own signature.

Supported Outlook clients

Outlook on the web, the new Outlook for Windows, and classic Outlook for Windows. Signsync works through an Outlook add-in that your admin deploys for the organisation.
